C. Processing of personal data via Scan2Lead

I. Usage data

When you visit our website, so-called usage data is temporarily stored on our web server as a log for static purposes in order to improve the quality of our website. This data record consists of

The aforementioned log data is only stored in anonymized form. The legal basis for the processing of usage data is Art. 6 para. 1 sentence 1 lit. f) GDPR. The processing is carried out in our legitimate interest in providing the content of our website and ensuring a device- and browser-optimized display.

II. SSL or TLS encryption

This site uses SSL or TLS encryption for security reasons and to protect the transmission of confidential content, such as orders or inquiries that you send to us as the site operator. You can recognize an encrypted connection by the fact that the address line of the browser changes from "http://" to "https://" and by the lock symbol in your browser line.

If SSL or TLS encryption is activated, the data you transmit to us cannot be read by third parties.

III. Storage location of the personal data collected via Scan2Lead

1. Visitor data

The processed personal data of visitors provided in the context of Scan2Lead is stored via the web application and the app on a Microsoft Azure EU Data Center Europe West in the Netherlands of the service provider Microsoft Corporation. We have carefully selected this external service provider and concluded an order processing contract in accordance with Art. 28 GDPR. As the controller, adventics has the exclusive right to issue instructions and can control and ensure the processing of personal data at all times.

2. Exhibitor data

The processed personal data of exhibitors provided in the context of Scan2Lead is stored via the web application and the app in the CRM system Zoho used by adventics on the legal basis of Art. 6 para. 1 sentence 1 lit. f) GDPR. Our legitimate interest lies in contacting you as the exhibitor's contact person and being able to fulfill the contract with the legal entity.

We use the external service provider Zoho Corporation B.V. Beneluxlaan 4B, 3527 HT Utrecht, Netherlands, to process your personal data strictly in accordance with your instructions. We have concluded an order processing agreement with this company.

IV. Registration

To be able to use the Scan2Lead applications, you need access and must register accordingly. To register, we need the following information from you:

Data is collected on the basis of Art. 6 para. 1 sentence 1 lit. b) GDPR and thus on the basis of our contractual obligation arising from the service contract between you as a user and adventics as a service provider. The information is stored in our database and is used, among other things, for registration.

The personal data you provide here will be stored for the period for which you need it to use the web application. A deletion takes place as soon as your personal data is no longer required for the described processing purposes and no legitimate interests or other (legal) reasons for storage prevent deletion.

V. Login and use

Every opening and login in Scan2Lead is logged by adventics with a user ID and a timestamp and stored for a period of 180 days. This data is collected on the basis of our legitimate interest pursuant to Art. 6 para. 1 sentence 1 lit. f) GDPR. The purpose of data collection and our legitimate interest in data collection is to ensure the security of the service. The data collected here is intended, for example, to detect and, if necessary, prevent disproportionately frequent access, as is common in the form of a DDoS attack.

You can object to data processing in accordance with the provisions of Art. 21 GDPR at datenschutz@adventics.de. You will then no longer be able to use the web application. The personal data specified here will not be passed on to third parties.

VI. Lead capture

Scan2Lead requires various authorizations for certain functions, such as capturing images of business cards or visitor badges. This basically results in the data processing of the lead capture.

With the help of Scan2Lead, visitors are scanned by the exhibitor using their business cards or visitor badge. In particular, e-mail address, telephone number (business), address (business), language, gender and nationality are recorded and processed by the exhibitor. The legal basis for this data processing is Art. 6 para. 1 sentence 1 lit. b) GDPR.

If you as a visitor are a contact person of a legal entity that carries out pre-contractual measures with the exhibitor, the data processing is based on the legal basis of Art. 6 para. 1 sentence 1 lit. f) GDPR. The exhibitor's legitimate interest lies in communicating with the exhibitor's contact person in order to be able to conclude a contract with the legal entity.

The storage period for personal data is 90 days. The personal data mentioned here will not be passed on to third parties.

VII. Upload and provision of data

You can upload various types of data via Scan2Lead and add them to your user profile. Basically, you can upload documents, questionnaires, photos or notes. We make this function available to you as a service when you use Scan2Lead. Data processing is also based on the legal basis pursuant to Art. 6 para. 1 sentence 1 lit. b) GDPR in order to fulfill our contractual obligation arising from the service contract between you as a user and adventics as a service provider.

VIII. Connection to customer systems or download of leads

You can download your leads from the "Visitor data" area and/or transfer them to your own system. We would like to point out that forwarded data or downloaded data is no longer subject to the access restrictions within the web application.

IX . Consent management platform

We use the Borlabs consent management platform on our website. The processing in connection with the use of Borlabs and the logging of the settings you have made is carried out on the basis of Art. 6 para. 1 sentence 1 lit. f) GDPR. Our legitimate interest lies in displaying our content according to your preferences and being able to prove that you have given your consent. The settings you have made, the consent you have given and parts of your usage data are stored in a cookie. This means that it is retained for subsequent page requests and your consent can still be tracked.

No information about visitors is transmitted to Borlabs via the Borlabs cookie.

X. Cookies

We only use session cookies on our websites. Cookies are small text files that are stored on your end device and can be read. A distinction is made between session cookies, which are deleted as soon as you close your browser, and permanent cookies, which are stored beyond the individual session. Cookies can contain data that makes it possible to recognize the device used. In some cases, however, cookies only contain information on certain settings that are not personally identifiable.

We use both necessary session and permanent cookies for the display and functionality of our website, as well as to track malfunctions, prevent misuse and defend against attacks. The processing is carried out on the basis of Art. 6 para. 1 sentence 1 lit. f) GDPR, § 25 para.2 TTDSG. Our interest lies in enabling the presentation of our website. You can also delete cookies at any time via the corresponding browser setting and prevent the setting of new cookies. We also use tracking cookies on our website to track your user behavior and subsequently send you targeted advertising. The processing takes place on the basis of your consent in accordance with Art. 6 para. 1 s. 1 lit. a) GDPR, § 25 para.1 TTDSG, if you have previously given your consent to tracking on our cookie banner. You can revoke your consent to the use of a tracking cookie at any time with effect for the future without affecting the legality of the previous processing. We use the web analysis tool "Microsoft Clarity" to design our websites in line with requirements. Microsoft Clarity creates usage profiles on the basis of pseudonyms. In particular, pseudonymized usage data (e.g. clicks, access times, pages visited), movement data (e.g. scrolling movements, mouse movements), location data and metadata (e.g. IP address, device information) are processed for this purpose. In this way, we are able to recognize returning visitors and count them as such.

As part of the Microsoft Clarity service, Microsoft Corporation supports us as a processor in accordance with Art. 28 GDPR. Data processing may also be carried out by Google outside the EU or the EEA (in particular in the USA). With regard to Microsoft, an adequate level of data protection is guaranteed on the basis of the adequacy decision (EU-U.S. Data Privacy Framework). Microsoft also undertakes to conclude standard contractual clauses with other sub-processors.

We use Microsoft Clarity. "Microsoft Clarity" is software from Microsoft that enables user analysis on the basis of a pseudonymous user ID and thus on the basis of pseudonymous data, such as the evaluation of data on mouse movements or performance data on certain Internet presentations.

In particular, we process usage data (e.g. Internet presentations visited, interest in content, access times), meta/communication data (e.g. device information, IP addresses), location data (information on the geographical position of a device or person), movement data (mouse movements, scrolling movements) in pseudonymized form. We have made the corresponding settings so that the data collection to and by Microsoft alone is pseudonymized, in particular in the form of IP masking (pseudonymization of the IP address).

All users of our website who have consented to the corresponding use via our cookie consent service are affected by this data processing. The data processing is therefore carried out solely on the basis of your consent in accordance with Art. 6 para. 1 sentence 1 lit. a) GDPR.

The purpose of the processing is tracking (e.g. interest/behavioral profiling, use of cookies), remarketing, conversion measurement (measurement of the effectiveness of marketing measures), interest-based and behavioral marketing, profiling (creation of user profiles), reach measurement (e.g. access statistics, recognition of returning users), cross-device tracking (cross-device processing of user data for marketing purposes).

Microsoft Advertising (Bing-Maps)

We use Microsoft Advertising for universal event tracking. Microsoft Advertising is an online advertising program of Microsoft Corporation, One Microsoft Way, Reymond, WA 98052-6399, USA, which supports us as a processor within the scope of the service in accordance with Art. 28 GDPR.

As part of Microsoft Advertising, we embed map services (Bing Maps) that are not stored on our servers. For reasons of data protection, no content from map services is loaded. This means that the third-party provider does not receive any information.

Embedding takes place on the basis of your consent, provided you have given your consent via our consent banner. Only then will content from the map service be loaded.

Please note that the embedding of some map services means that your data will be processed outside the EU or the EEA (in particular in the USA). As a result, the third-party provider receives the information that you have accessed our website and the usage data technically required in this context. We have no influence on further data processing by the third-party provider.

With regard to Microsoft, an adequate level of data protection is guaranteed on the basis of the adequacy decision (EU-U.S. Data Privacy Framework). Microsoft also undertakes to conclude standard contractual clauses with other sub-processors.

XI. Support services

1. Support via telephone

You have the option of contacting us via our telephone number if you have any questions or require assistance. We process your telephone number for this purpose.

The legal basis for the processing of this personal data is Art. 6 para. 1 sentence 1 lit. f) GDPR, as we have a legitimate interest in answering your request as easily, promptly and customer-oriented as possible. Unfortunately, we cannot process your request without your telephone number. You have the right to object to data processing in accordance with Art. 21 GDPR. However, your request can then no longer be answered.

Support requests that you send us regarding the Scan2Lead services offered by us are processed on the basis of Art. 6 para. 1 sentence 1 lit. b) GDPR.

In addition, you can decide for yourself whether you would like to provide us with further information. This information is provided voluntarily and is not mandatory for contacting us. We process your voluntary information on the basis of your consent in accordance with Art. 6 para. 1 sentence 1 lit. a) GDPR. You can revoke your consent to data processing at any time at datenschutz@adventics.de.

Your personal data will be deleted 12 months after your request has been answered. Statutory retention periods remain unaffected.

We do not transfer your personal data to third parties.

2. Support via live chat

You also have the option of contacting us via our live chat, which you can find in the bottom right-hand corner of the landing page and on all subpages of our website. The use of the live chat is voluntary. The date and time, your name and your e-mail address are collected and stored for the duration of the chat in order to answer your questions. Data processing is carried out on the basis of our legitimate interest in accordance with Art. 6 para. 1 sentence 1 lit. f) GDPR. The legitimate interest lies in answering your request via our live chat as easily, promptly and customer-oriented as possible. You have the right to object to data processing at any time at datenschutz@adventics.de. However, we will then no longer be able to process your request via the chatbot.

In addition, you can decide for yourself whether you would like to provide us with further information. This information is voluntary and is not mandatory for contacting us via our chatbot. We process your voluntary information on the basis of your consent. You can revoke your consent to data processing at any time at datenschutz@adventics.de.

Technically necessary cookies are used for the use and operation of the chat function. The processing is carried out on the basis of Art. 6 para. 1 sentence 1 lit. f) GDPR. Our interest lies in enabling your Internet browser to be recognized in order to distinguish individual users of the chat function on our website. You can object to this processing at any time. To do so, please click on the following link: datenschutz@adventics.de. The information generated by the cookies about your use of our website is transmitted to a server of the chat service provider and stored there. The chat histories are stored for a period of 12 months. After that, all data will be deleted.

We use the service provider Zoho Corporation B.V. to provide our live chat. We have carefully selected this external service provider and concluded an order processing contract in accordance with Art. 28 GDPR.

XII. Fonts (local hosting)

We use so-called ICON fonts for the uniform display of fonts on our website. ICON fonts are installed on our local servers. There is no connection to external servers at any time.

D. Orders via our Scan2Lead webshop

I. Order form

We offer you the opportunity to order Scan2Lead licenses for future events via our webshop. We have already created your customer account in our webshop on the basis of the personal data we have about you from the existing business relationship or business initiation and we will administer it. Should your data change, please inform us accordingly.

Your personal data is automatically entered from the Scan2Lead system in the input mask and processed by us for the purpose of processing your order. If you place an order via our website, we process your company, name, surname, address, country, e-mail address and telephone number in the web store. The data processing takes place in response to your order and is required in accordance with Art. 6 para. 1 sentence 1 lit. b) GDPR for the purposes mentioned for the proper processing of your order and for the mutual fulfillment of obligations arising from the purchase contract.

In addition, you can decide for yourself whether you would like to provide us with further information. This information is provided voluntarily and is not mandatory for the order. We process your voluntary information on the basis of your consent in accordance with Art. 6 para. 1 sentence 1 lit. a) GDPR. You can revoke your consent to data processing at any time at datenschutz@adventics.de.

The personal data collected by us for the processing of your order will be stored until the expiry of the statutory retention obligation and then deleted, unless we are obliged to store it for a longer period of time due to tax and commercial law (e.g. from HGB, StGB or AO).

Your personal data will only be passed on by us to third parties to the service partners involved in the processing of the contract, such as the credit institution commissioned with payment matters. However, in cases where your personal data is passed on to third parties, the scope of the data transmitted is limited to the minimum necessary.

II. Payment options

Depending on the payment method you choose, we also process personal data as part of the processing and reversal of payments. The legal basis for the processing of this personal data is Art. 6 para. 1 sentence 1 lit. b) GDPR, as this is necessary for the performance of our service contract.

1. Purchase on account

In the case of payment on account, we process the data required for payment processing for your order, including the name of the account holder, IBAN and BIC and details of your bank on the basis of Art. 6 para. 1 sentence 1 lit. b) GDPR, as this is necessary for the fulfillment of our service contract.

2. Credit card

In the case of payment by credit card, in addition to the data on your order required for payment processing, we also process data on your credit card provider, the issuing credit institution if applicable, the card number, the name of the cardholder, the expiration date and the card verification number on the basis of Art. 6 para. 1 sentence 1 lit. b) GDPR. We transmit this data to the following independent payment service providers responsible for payment processing:

3. Purchase on final invoice

If you have opted for the "purchase on final invoice" payment method, the data stored by you will be processed by the respective trade fair at which you exhibited. The processing of your data takes place on the legal basis of Art. 6 para. 1 sentence 1 lit. b) GDPR between you and the trade fair as organizer.

E. Contacting visitors by e-mail after visiting the trade fair

I. Products/services of the exhibitor

If you, as a trade fair visitor, are interested in the exhibitor's products/services via a mass event, you have the opportunity to be contacted by the exhibitor via e-mail. Your surname, first name and e-mail address will be processed on the legal basis of your consent in accordance with Art. 6 para. 1 sentence 1 lit. a) GDPR.

Subscription to the e-mails is voluntary for you. The provision of your data for this purpose is not required by law or contract or necessary for the conclusion of a contract. If you do not provide your data, it will not be passed on and you will not receive any e-mails.

Once you have given your consent, you can revoke it at any time with effect for the future. To do so, please send an e-mail to the address of the exhibitor known to you. By withdrawing your consent, you will unsubscribe from the newsletter and your contact details, which were collected for this purpose, will be deleted immediately.

With regard to the advertising approach by adventics for the exhibitor, adventics acts as a processor. An order processing contract was concluded with the exhibitors in accordance with Art. 28 GDPR.

II. Scan2Lead

If you are interested in our Scan2Lead product via a trade fair event, we will be happy to send you information about the latest technical achievements and about our product and services by e-mail. In order to be able to send you the newsletter, please provide your name and e-mail address at the exhibitor's stand. We base the data processing on your consent in accordance with Art. 6 para. 1 sentence 1 lit. a) GDPR at the exhibition stand. The exhibitor will then transmit your personal data to us on the basis of your consent.

Subscription to the e-mails is voluntary for you. The provision of your data for this purpose is not required by law or contract or necessary for the conclusion of a contract. If you do not provide your data, it will not be passed on and you will not receive any e-mails.

Once you have given your consent, you can revoke it at any time with effect for the future. To do so, please send an e-mail to datenschutz@adventics.de. With your revocation, you unsubscribe from the sending of e-mails and your contact details, which were collected for this purpose, will be deleted immediately.

F. Your rights as a user

When processing your personal data, the GDPR grants you certain rights as a website user:

I. Right to information (Art. 15 GDPR)

You have the right to request confirmation as to whether personal data concerning you is being processed; if this is the case, you have a right to information about this personal data and to the information listed in detail in Art. 15 GDPR.

II. Right to rectification and erasure (Art. 16 and 17 GDPR)

You have the right to demand the immediate correction of incorrect personal data concerning you and, if necessary, the completion of incomplete personal data.

You also have the right to demand that personal data concerning you be deleted immediately if one of the reasons listed in Art. 17 GDPR applies in detail, e.g. if the data is no longer required for the purposes pursued.

III. Right to restriction of processing (Art. 18 GDPR)

You have the right to request the restriction of processing if one of the conditions listed in Art. 18 GDPR is met, e.g. if you have objected to the processing pursuant to Art. 21 GDPR or for the duration of any examination as to whether our legitimate interests outweigh your interests as a data subject.

IV. Right to data portability (Art. 20 GDPR)

In certain cases, which are listed in detail in Art. 20 GDPR, you have the right to receive the personal data concerning you in a structured, commonly used and machine-readable format or to request the transmission of this data to a third party.

V. Right of withdrawal (Art. 7 para. 3 GDPR)

If data is collected on the basis of Art. 6 para. 1 sentence 1 lit. f) GDPR (data processing to safeguard legitimate interests), you have the right to object to the processing at any time for reasons arising from your particular situation. We will then no longer process the personal data unless there are demonstrably compelling legitimate grounds for the processing which override your interests, rights and freedoms, or the processing serves the establishment, exercise or defense of legal claims.

VI. Right of withdrawal (Art. 7 para. 3 GDPR)

If the data processing is based on your consent, you can revoke this consent at any time without affecting the legality of the data processing up to the time of revocation.

VII. Right of appeal to the supervisory authority

In accordance with Art. 77 GDPR, you also have the right to lodge a complaint with the supervisory authority if you believe that the processing of data concerning you violates data protection regulations. The right to lodge a complaint can be exercised in particular with the supervisory authority in the Member State of your habitual residence, place of work or place of the alleged infringement.
